Short version: mindfree is built to help you capture thoughts, organize them, and decide what deserves attention. To do that, we process the content you put into your board, related metadata, account data, communication inputs, and usage information. We use service providers to operate the Service, including hosting, authentication, communications, analytics, and AI processing providers. We do not want you to put sensitive regulated information into mindfree unless we explicitly say the Service supports it.
This Policy applies to information processed through the Service. It does not apply to third-party websites, products, services, app stores, communication carriers, or integrations that we do not control. If you use a third-party service to interact with mindfree, that third party may also process information under its own terms and policies.
We collect information you provide directly, information generated by your use of the Service, and information received from service providers or integrations.
mindfree is not designed to store highly sensitive or regulated data such as Social Security numbers, government ID numbers, financial account credentials, protected health information, biometric identifiers, precise geolocation, trade secrets you are not authorized to submit, or content subject to special legal controls. Do not submit that kind of information unless we have expressly agreed in writing that the Service supports it.

When you use AI-assisted features, relevant board content, communication content, metadata, and instructions may be sent to AI model providers or other processors so they can generate outputs for you. AI outputs may be inaccurate, incomplete, outdated, or unsuitable for your situation. You should review outputs before relying on them. We may store prompts, outputs, evaluations, and related metadata to operate, audit, improve, and secure the feature, subject to our retention practices and provider configurations.
Where applicable law requires a legal basis, we process personal information based on one or more of the following: performance of a contract, legitimate interests, consent, compliance with legal obligations, and protection of rights, safety, and security. Our legitimate interests include operating and improving the Service, preventing abuse, securing systems, communicating with users, developing features, and understanding how the Service is used.

We do not knowingly sell personal information for money. Some privacy laws define "sale," "sharing," or targeted advertising broadly. If we use analytics, advertising, measurement, or similar tools that trigger opt-out rights under applicable law, we will provide the required notices and choices. We and our providers may use cookies, local storage, pixels, SDKs, and similar technologies to keep you logged in, remember settings, secure accounts, prevent abuse, measure usage, debug the Service, and improve features. We retain information for as long as reasonably necessary for the purposes described in this Policy, including to provide the Service, maintain account history, preserve board history, comply with legal obligations, resolve disputes, enforce agreements, prevent abuse, and maintain backups and audit logs. Because mindfree is designed around the history of thoughts and decisions, records of bubble changes, moves, and metadata may be retained even when a current board view changes. Deletion requests may not immediately remove data from backups, security logs, derived records, de-identified data, or records we must retain for legal or legitimate business reasons.
We may create de-identified, anonymized, or aggregated information from personal information. We may use and disclose that information for product development, analytics, research, benchmarking, reporting, business, and other lawful purposes, provided it is not used to identify you where applicable law restricts such use.
We use administrative, technical, and organizational safeguards designed to protect information. However, no system, network, transmission, or storage method is fully secure. You are responsible for using a strong password, protecting your login methods, keeping account information current, and notifying us promptly of suspected unauthorized access.
Depending on where you live, you may have rights to know, access, correct, delete, restrict, object to, port, or opt out of certain processing of your personal information. You may also have the right not to be discriminated against for exercising privacy rights. We may need to verify your identity before fulfilling a request. Authorized agents may be required to provide proof of authority. We may deny or limit requests where permitted by law, including when necessary to protect security, prevent fraud, comply with law, preserve evidence, complete transactions, or protect the rights of others.
We are based in the United States. Your information may be processed in the United States and other countries where we or our providers operate. Those countries may have privacy laws different from those in your jurisdiction. Where required, we rely on appropriate transfer mechanisms.
The Service is not directed to children under 13, and we do not knowingly collect personal information from children under 13. The Service is intended for users who can legally enter into the Terms. If you believe a child has provided personal information to us, contact us and we will take appropriate steps.
If you provide a phone number or use text, email, or call-in features, you authorize us and our providers to process the related communications and metadata to provide the Service. Carrier rates may apply. Do not send content through these channels unless you have the right to do so and understand that communications systems may create logs, transcripts, routing records, and provider records.
We may update this Policy from time to time. The updated version will be posted with a new effective date. If changes are material, we may provide additional notice where required. Your continued use of the Service after an update means the updated Policy applies to your continued use.
